What goes on the sheet

The template brings the five parts of campaign planning onto one sheet. Yellow cells are yours to fill in and blue cells calculate for you. The values below are samples.

Goal and offer

Pick one primary goal, then attach a number, a deadline and the offer you will lead with. Everyone knows what success means before any copy is written.

  • Primary goal
  • Target number
  • Deadline
  • Offer and CTA
  • Why now
Sample goal10 qualified meetings in 30 days

ICP

Define up to three segments so you can plan variations without opening a second file.

  • Segment
  • Industry
  • Company size
  • Region
  • Buyer title
  • Pain point
  • Trigger
Sample segmentMid-market SaaS, VP Sales, new funding round

List size

Enter your target and your expected rates. The sheet works out how many contacts to load.

Target meetings ÷ (meeting rate × reply rate × delivery rate)
1,404

contacts to load, from 10 meetings at a 25% meeting rate, 3% reply rate and 95% delivery rate. Sample assumptions, not benchmarks.

Sequence

Map every touch with its channel, day, message angle, opener, call to action and status.

  1. Day 1Email
  2. Day 3LinkedIn
  3. Day 5Email
  4. Day 8Call
  5. Day 12Email
  6. Day 17Breakup email

Success metrics

Set a target for each metric before launch, add actuals as results arrive, and read the gap column to decide what to change.

Each section feeds the next. The goal sets the list size, the ICP shapes the sequence, and the metrics tell you whether to keep going or adjust.

  1. Set the campaign goal

Start with one primary goal, such as booked meetings, demo requests or replies from a target account list. Add a target number, a deadline and your offer. A goal like 10 qualified meetings in 30 days gives every other section something to be measured against.

  2. Define the ICP

Describe the buyer you want to reach: industry, company size, region, job title, the pain point you solve, and a trigger that makes outreach timely, such as a new funding round or a hiring push.

  3. Size your list

Enter your target meetings along with your expected meeting, reply and delivery rates. The template calculates how many contacts you need to load. Treat the rates as assumptions and replace them with your own history.

  4. Build the sequence

Map each touch by step, channel, day, message angle and call to action. The default layout has six steps over about 17 days, mixing email, LinkedIn and a call. Adjust the cadence to your buyer and use the status column to track what is drafted, approved and live.

  5. Lock in success metrics

Set a target for delivery rate, reply rate, positive replies, meetings booked and cost per meeting. As results come in, add actuals and let the gap column show where the plan and reality differ.

Why plan on one sheet

Planning on one sheet keeps strategy and execution connected, so handoffs between SDRs, marketers and managers need fewer explanations.

Without a plan

  • Goal in a slide deck
  • ICP in a wiki page
  • List in a CRM export
  • Sequence in the sending tool
  • Metrics in a dashboard

On one sheet

One source of truth

The goal, ICP, list, sequence and metrics stay together.

Realistic list sizing

The formula ties your target to expected conversion rates, so you avoid loading far too few or far too many contacts.

Consistent sequencing

A visible cadence keeps touches evenly spaced and makes it easy to compare one campaign with the next.

Faster reviews

Targets and actuals sit side by side, so reviews start with the numbers instead of a search for them.

Keep the plan working after launch

The sheet works best as a living document rather than a one-time form.

Pressure-test the goal

Check that the target is realistic for the list you can actually build. If the formula says you need 5,000 contacts and your ICP only has 800 matching accounts, adjust the goal or widen the ICP before you send anything.

Match the sequence to the ICP

A VP of Finance and a founder rarely respond to the same message. Use the message angle column to tailor each step to the pain point and trigger you wrote for that segment.

Review metrics every week

Compare actuals against targets on a fixed day. If delivery is low, fix the list first. If replies are low, revisit the message angle. If meetings are low, look at the offer and the call to action.

Frequently asked questions

What is an outbound campaign planning template?

An outbound campaign planning template is a structured sheet that captures the goal, target audience, list size, message sequence and success metrics for a campaign in one place. It helps teams agree on the plan before they start sending.

What should an outbound campaign plan include?

At minimum, a plan should include the campaign goal and deadline, the ICP, the number of contacts needed, the sequence of touches with timing and channels, and the metrics you will use to judge results. This template covers all five.

How do I calculate the list size for a campaign?

Work backwards from your target. Divide the number of meetings you want by the product of your meeting rate, reply rate and delivery rate. The template does this automatically once you enter your assumptions.

How many steps should an outbound sequence have?

There is no single right number. The template starts with six touches over about 17 days, which you can lengthen or shorten based on your buyer, your channel mix and how your team handles follow-up.

Which metrics should I track for outbound campaigns?

Track delivery rate, reply rate, positive reply rate, meetings booked and cost per meeting. Set a target for each one before launch and compare actuals against it on a regular cadence.

What pricing plans does ReachStream offer for scaling?

ReachStream offers a free plan so you can test the platform, with paid plans as your outbound volume grows. See the pricing page for current plan details.
