The backward walk

Five steps from a 2027 number to a contact list

Pipeline math always runs in this order. Start at the revenue line, divide by the next conversion rate, and keep going until you reach raw contacts.

Step 1

Pin the revenue

Fix the 2027 number you are accountable for and the average deal size that funds it.

Revenue ÷ Deal size
Step 2

Work out deals

Divide revenue by average deal size to see how many closed-won deals 2027 requires.

= Deals needed
Step 3

Work out meetings

Divide deals needed by your win rate to see how many meetings or opportunities must open.

Deals ÷ Win rate
Step 4

Work out leads

Divide meetings needed by your meeting-booked rate to see how many qualified leads must enter the funnel.

Meetings ÷ Meeting rate
Step 5

Work out list size

Divide leads by your engagement rate, then by your valid-contact rate, to see the raw list you need to build or buy.

Leads ÷ Engagement ÷ Valid rate

Why the order matters

Each stage divides by a conversion rate, so the numbers grow fast as you move up the funnel. Getting the order wrong, or skipping a stage, is the most common planning mistake.

  • Always start from revenue, never from a guessed list size
  • Keep deal size and win rate specific to the segment you are planning for
  • Re-run the sheet whenever a rate changes materially

Do not know your own rates yet

Use the midpoint of each range as a placeholder, run the sheet once, then replace each rate with your own CRM numbers from the last two closed quarters as soon as you have them.

  • New teams: start at the low end of each range
  • Established teams: pull win rate and meeting rate straight from the CRM
  • List-quality rate depends on how the contacts were sourced and verified

Scaling is linear, sourcing is not

The math above scales in a straight line with the same conversion rates. What does not scale linearly is sourcing: finding 125,000 accurate contacts takes a materially different approach than finding 31,250.

  • Budget sourcing and verification time before the quota kicks in
  • Segment a large list so reps are not working a single undifferentiated pile
  • Re-check valid-contact rate at this volume; it often drops as you go deeper into a market

The five numbers that matter

Formulas built into every row

No spreadsheet skills required. Each formula answers a question you will be asked in a 2027 planning meeting.

Deals needed

Revenue target / Deal size

The number of closed-won deals 2027 requires before anything else is calculated.

Meetings needed

Deals / Win rate

How many opportunities or meetings have to open for the win rate to produce enough deals.

Qualified leads needed

Meetings / Meeting rate

How many leads must be good enough, and engaged enough, to convert into a booked meeting.

Raw list size needed

Leads / Engagement / Valid rate

The actual number of contacts to source, after accounting for who replies and who is reachable at all.

Who it is for

Built for anyone setting a 2027 number

Sales leaders and RevOps

Turn a 2027 quota into a defensible pipeline and list-sourcing plan before the board asks for one.

SDR and BDR managers

Know exactly how many meetings and leads each rep needs this year, not just this quarter.

Founders and growth leads

Size the contact list you need to buy or build before you commit to a headcount or a data budget.

The math says how many. ReachStream has them.

The sheet tells you the list size. ReachStream gives you the list.

Once you know how many contacts your 2027 target needs, pull them from a verified B2B contact database instead of guessing at the valid-rate assumption above.

2027 pipeline math FAQs

Pipeline math is the practice of working backward from a revenue target through win rate, meeting rate and list quality to find exactly how many meetings, leads and contacts a goal requires. It matters because a 2027 target set without this chain is usually either under-resourced or built on a guessed list size.
Divide your revenue target by your average deal size to get deals needed, then divide deals needed by your win rate. The result is the number of meetings or opportunities that must open in 2027.
Start with a conservative 15% to 20% win rate, which covers most early-stage B2B sales motions, run the sheet once, then replace it with your actual win rate from the CRM as soon as you have two closed quarters of data.
Yes. A list with an 80% valid and deliverable rate needs noticeably fewer raw contacts than one at 60%, because more of what you buy or build is actually reachable. Valid rate is one of the five inputs in the sheet above for exactly this reason.
That depends on your meeting-booked rate, typically 15% to 25% for outbound-sourced leads. At 20%, every five qualified leads produce roughly one booked meeting.
ReachStream starts with the Free plan, ideal for testing the platform. As your outreach grows, you can upgrade to Glacier, Ice Floe, or Polar Peak for expanded access and features. It is a great way to keep your pipeline full and your team focused on closing.
